How to Create Mobile Passes

What Are Mobile Passes?

The mobile pass feature allows fans to reuse their pass for a predetermined amount of time. Mobile passes can be used for tournament events, sporting season events, or all events (sports, performing arts, etc). 

Mobile passes are different from both season tickets and regular GoFan tickets. With season tickets, you receive a ticket for each event created in that season, and these tickets do not reset after using them, whereas a mobile pass would. Compared to a regular GoFan ticket, a mobile pass can be reused multiple times depending on the redemption window determined when created, as well as the duration of the pass itself. 

How Are Mobile Pass Fees Different from Other Ticket Types?

It is important to note that a mobile pass fee structure is different from regular GoFan tickets. With regular tickets, anything under $10 receives a $1 fee, and anything over $10 receives a $1 + 5% fee.  With all mobile passes, the fee structure is set to $2 + 5% of the ticket price. 

How to Create a Mobile Pass

Start by clicking on Create a mobile pass from the menu in the Dashboard.

Required Settings

Event Type: Here, you can define Activity and the Sports level, Gender, and Sports Level. 

Schools: Add/Edit Opponent(s) or Participant(s) for your event by searching in the Add another school box. Your school will be listed as the Home & Financial school by default.

Pay attention to the school's logo, city, and state. This can make sure you choose the correct one.

Pass Name: You can specify a particular Pass Name that will appear on your GoFan event page.

Pass date and time: This is the actual date and time your pass will be valid. The time zone will automatically be set to the school’s time. You can also choose All Day Event by turning the toggle on (blue) if you don't want to specify a time.

The Pass Redemption Window is set as the time frame (in hours) for a pass to reset after use. A typical redemption window time would be 1 hour.  The ticket redemption window is when a pass will be available after its initial use. The lowest a redemption window can be set is .10.

Venue Setup: This will be pulled in directly from your school settings. However, if you have a unique venue for this event or a specific location at the venue, you can update it here.

Pass Setup

Pass availability: You can select Unlimited Passes if you don't need to set a limit on how many passes are being sold at the event, or select Total passes available for this event and enter a specific number of passes that can be sold.

Event Passes

Click Add Pass to create passes. Enter the pass name, price, and allotment (how many of each pass are available from your pass availability set above).

You can select to create a unique link for the pass, if the attendee pays the associated fee or the school will absorb it, and if you want to create a Box Office.

Click View optional pass settings to set sales dates and usage details.

Sale date and time: Enter dates and times to begin and end the sales of your pass.

Pass limit per order: How many passes a customer can purchase in a single order.

Redemption limit: Toggle Unlimited Use to Yes if you want to allow the pass-holder to use the pass as many times as they like, or turn it to No if you want to then enter a pass redemption limit for the pass-holder to use a set number of times.

Family Pass: If you want to allow a pass to be used by a group, you can toggle on Yes and enter a number of passes to be included together.

Optional ​​​​​​​Settings

You can choose to publish your mobile pass event now, or continue to to add additional optional settings.

Click the Optional Settings drop-down menu on the left.

Event Visibility

If you want to hide this pass from your GoFan page, perhaps because you'd like to select recipients or limit pass purchasing, you can toggle on Hide this pass from school's GoFan Page. Then, enter a date and time to publish your pass.

You can also choose to pin your pass to your school's GoFan page if you'd like to highlight it at the top of your Upcoming Events.

Tickets on Sale

Toggle on Passes go on sale immediately when this event is added if you want passes to be available when you publish the event. Toggle this off if you want to set sale dates and times.

Buyer purchase limit: Select a number if you want to limit how many passes a customer can purchase in a single order. Note that they will still be able to purchase additional passes in a separate order, as long as passes are still available.  

Access and Promo Codes

Financial Settings

You can choose your Event payment cycle for your pass by choosing a Calendar-based or an Event-based cycle. See our article When Do We Get Paid for Event Sales to learn more about the different payment cycles.

Event Alert

An event alert creates a notification that will appear at the top of your GoFan.co event page with any high-priority information. See our article How to Manage Event Alerts in Mobile HQ for complete details.

Additional Information

Use this option to collect additional details when your customers purchase passes, such as ID number, shirt size, etc. See Collecting Additional Information from Attendees in our event creation article for more details.

Custom Description

The custom description gives you the ability to customize your event page with images and robust text formatting to ensure that fans purchasing passes have necessary and relevant information.

custom sports name will overwrite the selected sport on your GoFan event page.

The description is a detailed description of your event. 

Images should be no larger than 1000px wide, as a larger image could cause performance issues on both the HQ and GoFan sites.

Review and Publish

Once you have entered all Required Settings and any Optional ​​​​​​​Settings, click the Publish Event button on the bottom-right of the page. You will then be redirect to the event page.
