How to Create a Prom or School Dance Event in HQ

GoFan supports schools in selling school dance tickets online, allowing easy payment and event management for your Prom, Homecoming, Formals, and more.

This guide will walk through the simple setup options and flexible settings for configuring your event with early bird pricing. If you are looking to restrict which students can purchase tickets with a unique code, please reference our restricted access dance setup guide below.

Access Codes allow you to restrict who is eligible to purchase tickets for the Dance by uploading existing identifiers such as IDs or with randomly generated codes. Examples include adding IDs or lunch numbers for your Student Tickets and creating random codes for your Guest Tickets.

Promo codes will all you to offer percent or fixed dollar amount discounts to stimulate early purchasing.

To create your dance event, click on Create an event from your HQ dashboard.

From the pop-up, click School Dance and then Continue.

Required Settings

The Event Type will atomically default to School Dance and Prom.

Add/Edit Participant(s) for your event by searching in the search for a school box. Your school will be listed as the Home & Financial school by default.

Pay attention to the school's logo, city, and state. This can make sure you choose the correct one.

Enter the Event Name, up to 100 characters. This name will appear on your school's public GoFan website.

Define the Event Date and Time. This is the actual time your event will start and end. The time zone will automatically be set to your school’s time. You can also choose the All Day Event option by clicking the toggle to green.

Gate Opening Time controls when prom tickets become available to be redeemed. By default, this is set to 4 hours before the event begins. You can also turn on Tickets valid anytime if you want to be able to validate tickets at the gate immediately.

Venue information will be pulled directly from your school settings. However, if you have a unique venue for this event or a specific location at the venue, you can update it here. After making adjustments, you can hit Update to publish the changes live to your GoFan Page. 

Setup Ticket Types

If you have default tickets, they will load here. You can edit these or click Add Ticket to create more.

Ticket Availability is the total amount of tickets you want to sell for the event. If you don’t want to limit capacity, choose Unlimited tickets.

Click Add Ticket and fill in the ticket information. Please note Attendee pays fee is turned on by default. Turn this off if you would like the school to absorb the fee. 

You will see the Box office ticket option only if your school is set up to sell tickets with PlayOn's cashless products. See Box Office Ticket Management if this is the case for your school. 

Click View optional ticket settings to define the start date and time for a specific ticket. You will also have the option to set the maximum number of tickets a customer can purchase per order for the ticket.

Click Back to return to your event settings. 

Optional ​​​​​​​Settings

Under Event Visibility, you can turn on Hide this event from the school's GoFan page. This will allow you to set a specific Publish date and Publish time.

Pin to Top will put this event at the top of your Upcoming Events list on GoFan.

If Tickets go on sale immediately when this event is added is turned off, you can specify when ticket sales start and end. Note setting an end time while the event is still going on will restrict your ability to sell on GoFan.co or Box Office.

The Buyer Purchase Limit limits the number of tickets available per transaction. Fans can go through the funnel and complete multiple orders, but this limits the number of tickets per order.

Also select a calendar-based or event-based payment cycle.

The Event Alert will appear at the top of the GoFan.co event page. This can be any high-priority information. For example, ”Masks Required."

Collecting additional information is an option to collect additional information when your customers purchase tickets. See the Collecting additional ticket information knowledge article section for more information. 

Custom Descriptions
  • Ability to customize your event page with images and robust text formatting to ensure that fans purchasing tickets have necessary and relevant information. Important to note that images should be no larger than 1000px wide, as a larger image could cause performance issues on both the HQ and GoFan sites.
  • You can define an Event Theme that appears on your GoFan event page.
  • The description is a detailed description of your event. For now, it is text-based only, but you can contact our team if you need additional formatting.

Review your event settings and click Publish.
