Event Capacity Best Practices
These are some strategies we recommend to manage your events with capacity limits. All of these updates can be made directly in PlayOn HQ.

In PlayOn HQ, you can set a limit on how many tickets are allowed in each purchase. A fan cannot check out more than the ticket limit when buying tickets for a specific game.

If you have strict capacity limitations and believe that you may have more demand for events than tickets, make sure to set a limit on the total number of tickets available to be sold.

The Event Alert will display as a banner at the top of your event page. Utilize these to let fans know about any important event policies.

You can ensure that both teams have access to their allotment of tickets using our Split Tickets functionality in PlayOn HQ.
Once you save the event, a unique school link will be generated for each school. Share the respective links with both the home school fans and the visiting school to give fans the correct access to their ticket allotment.

Many schools want to give their own players' friends and families access to purchase tickets first. Keep your event Hidden from your GoFan page and share your event link with loved ones so they have the opportunity to get tickets first. If you still have tickets available closer to the game, you can make an event Visible at any time.

If something happens and your event cannot go on as scheduled, you have several options:
1. Reschedule the event and honor all pre-purchased tickets.
2. Complete the cancellation process to issue refunds for all pre-purchased tickets. Refunds are typically processed in 1-2 business days, and GoFan refunds 100% of the purchase price back to fans.

How to Manage Ticket Capacity for an Event
You can manually set a total ticket capacity for your event and event distribute a set amount of tickets for each ticket type you've created in order to precisely manage your ticket sales.
In your PlayOn HQ Dashboard, click on Events.
On your event page, click the Tickets tab and Edit Tickets.
Under Ticket Setup, click on Total tickets available for this event and enter the total number of tickets you want to make available.
This will cap sales across all tickets at your specified number. To allot a certain number of tickets to individual ticket types, click on the ticket type on the left and enter a number in Allotment.
This example would allot 100 tickets maximum to the Student Ticket out of the 500 total capacity of the event.
If you have more than one school participating in an event, you can enable Ticket Distribution under Ticket Setup when creating your event.
If you've enabled ticket distributing, when editing tickets you can then choose to distribute ticket availability by using the slider or inputting a number under the Ticket Distribution panel.
When you're done, be sure to click Save in the bottom-right corner to update your ticket settings.
How to Disable Ticket Sales
You have complete control over your ticket sales. If you need to end ticket sales at any point before your event begins, you can navigate to the Events page in your PlayOn HQ Dashboard.
On your Event Summary page, find the Ticket on Sale panel, which displays your tickets. In the On Sale column, toggle to No to disable sales immediately.
You can do this for each ticket to disable sales for your event entirely.
