How to Use Promo and Access Codes in HQ

You can add access and promo codes at both the event and ticket level of events, all in HQ!  It's best to create ticket types first, as default ones will also populate. To begin the code creation process, please follow the steps below.

What to Know About Codes

  • 150 is the maximum number of tickets that can be purchased or claimed with a code.
  • Randomized codes use capital letters and numbers for codes, no symbols.
  • When using IDs or specific codes (e.g. lunch numbers), we suggest using the file upload or contacting Support.

Creating Access Codes

When creating your event, you'll find the Create access codes button under the Optional settings.

On the Access Codes page, you'll see the following settings:

  • Select Attendees need a code for event entry if you want access codes applied at the event level. Select Attendees codes differ by ticket type to associate the codes with a specific ticket type, if you have multiple ticket options.
  • Under Create By, select Manual to create random codes manually. 
  • In Tickets Per Code, enter the quantity of tickets that can be purchased per code or toggle on Unlimited tickets per code.
  • Codes are Valid Between indicates the date range during which codes can be used. This is optional.
  • Enter the number of unique codes you need and check the box for Randomize codes for me.
  • If you want any discount taken off access codes prior to the service fee, toggle on Settings and discount value.

Click Apply

Then click Generate Codes.

Once your codes are generated, click Return to event creation, followed by Publish Event. This ensures that the codes are created and added to your event.

Managing Access Codes

Once access codes are created, navigate to the Event Management tab in the event.

In the Optional Settings section, you will see your access and promo codes. Select the pencil icon to edit or view them.

When you click on the code, you can see if it has been used.

You can download your list of codes or edit, delete, or search the codes in HQ.

Creating Promo Codes

When creating your event, you'll find the Create promo codes button under the Optional settings.

  • Select Provide discount code for any ticket type if you want promo codes applied at the event level. Select Provide discount code for specific ticket type to associate the codes with a specific ticket type, if you have multiple ticket options.
  • Under Create By, select Manual to create random codes manually. To input specific IDs or lunch numbers, please contact Support.
  • In Settings and Discount Value, choose if the promo code is offering a percentage or dollar amount off and enter the discount value.
  • In Tickets Per Code, enter the quantity of tickets that can be purchased per code or toggle on Unlimited tickets per code.
  • Codes are Valid Between indicates the date range during which codes can be used. This is optional.
  • Enter the number of unique codes you need and check the box for Randomize codes for me.

Click Apply.

Then click Generate Codes.

Once your codes are generated, click Return to event creation, followed by Publish Event. This ensures that the codes are created and added to your event.
